1. Overview
If something about AmbTrack has affected you — how your personal data was handled, a rights request that was not met, content or conduct on the platform, or a decision we made about your account — you can bring it to our Grievance Officer. We aim to resolve grievances quickly, fairly, and without cost to you.
2. Grievance Officer
Contact our Grievance Officer at grievance@ambtrack.in, or by post to AmbTrack, Bengaluru, Karnataka, India, marked “Grievance Officer”. For data-protection matters you can also reach our data-protection contact at privacy@ambtrack.in. The Grievance Officer is resident in India. The individual holding the role will be named here once appointed; until then, messages to these addresses reach the responsible members of the AmbTrack team.
3. What you can raise here
- A concern about how your personal data was collected, used, shared, secured, or retained.
- A rights request (access, correction, erasure, withdrawal of consent, nomination) that was refused, delayed, or handled incompletely — see the Privacy Policy.
- A personal data breach you believe has affected you.
- Content or conduct on the platform that breaches our Acceptable Use Policy.
- An account decision — a refusal to approve, a suspension, or a closure — that you want reviewed.
- Any other complaint about AmbTrack’s compliance with these documents or applicable law.
For routine help (a sign-in problem, a bug, a question), email support@ambtrack.in first — it is usually faster. You can escalate to a grievance if support does not resolve it.
4. How to submit a grievance
Email grievance@ambtrack.in from the email address linked to your concern (your registered address, or the address you gave when your data was collected). Please include:
- your name and role or relationship to AmbTrack (registered user, patient or caller, pilot enquirer, other);
- a clear description of the issue and what outcome you are seeking;
- relevant dates, and any reference such as a case date and location or a prior support ticket;
- any documents that help us understand the issue.
If you cannot use email, write to the postal address above. We may ask you to verify your identity before we disclose or change personal data, to protect you.
5. How we handle it
- Log and acknowledge. We record the grievance with a reference and confirm receipt promptly.
- Assess. We identify what happened, which policy or law applies, and whether interim action is needed (for example, restricting access or preserving records).
- Investigate. We review the relevant records and consult the people involved.
- Decide and respond. We give you a written response with our findings, the action we have taken or will take, and the reasons. If we cannot fully grant your request, we explain why and what options remain.
- Close. We close the grievance and keep a record (see section 7).
We aim to resolve grievances within a reasonable period, and in any case within the timeframe applicable law requires for the type of complaint. We keep you updated while a matter is open.
6. If you are not satisfied
- Data-protection matters. After you have exhausted this grievance process, you may make a complaint to the Data Protection Board of India, and you retain any other remedy available under law.
- Content and platform matters. You may pursue the remedies available under applicable information-technology law, including any appellate mechanism notified by the Government.
- Other matters. Nothing here limits your right to approach a court of competent jurisdiction at Bengaluru, Karnataka, as provided in the Terms of Service.
7. Records and confidentiality
We keep a record of each grievance — what was raised, what we found, and how it was resolved — for as long as needed to show we handled it properly and to meet any legal obligation. We share the details only with the people who need them to investigate and respond, and with an authority where the law requires.
8. Frivolous or false complaints
Applicable law requires individuals not to raise frivolous or false grievances. We will still review every grievance, but we may decline to act further on one that is shown to be frivolous, and we record such outcomes.
9. Changes
We update this page as our contacts and obligations change. The named officer and full address will be filled in here as they are settled. The dates at the top show the current version.
